Volunteer Policy

The Easthampton Public Library recognizes that volunteers are a valuable resource for the library. Through their time and talent, volunteers help the library meet its commitment to providing quality services to the public. 

Selection of Volunteers

  • Volunteers are selected based on their qualifications in relation to the needs of the library at any given time, and based on their ability to commit to a consistent schedule of volunteer hours.
  • Volunteers will not be utilized to fill paid staff positions. Please note that volunteers do not work at library service desks.
  • The minimum age for volunteers is 12 years of age. 
  • Prospective volunteers are required to complete a Volunteer Application Form. Volunteers under the age of 18 are required to have a parent or guardian sign the Volunteer Application Form.
  • A staff supervisor will review the application and schedule an interview if the application meets all requirements.
  • Volunteers over the age of 18 must agree to a CORI check prior to beginning volunteer work at the library. 
  • The library has absolute authority to decline a volunteer application.
  • If there are not suitable volunteer opportunities available at the time of application, applications will be kept on file for one year. Applicants may be called to volunteer for special projects during that time.

Volunteers Duties

The following lists some of the tasks volunteers perform:

  • Shelf maintenance: straightening, shelf reading, shifting books, cleaning shelves.
  • Processing or deleting of library materials from the collection.
  • Creating and restocking library displays.
  • Photocopying, collating, folding, stapling.
  • Assisting with events, on and off site.
  • Special projects as assigned. 

Physical Requirements

Volunteer duties often require standing, lifting, bending, reaching, and other physical exertion.  

Volunteer Guidelines

  • Volunteers are expected to report to work at the scheduled time. Volunteers should notify their supervisors soon as possible if they will be late or absent.
  • It is expected that a volunteer’s dress and grooming be appropriate and in keeping with his or her work assignment.
  • Volunteers should refer all information and policy questions from the public to a staff member.
  • Socializing with friends during scheduled volunteer time is discouraged.
  • By law, all patron information is confidential and volunteers must not reveal any personal information to anyone.
  • Volunteers should report any safety hazards or injuries immediately to a supervisor or to the librarian in charge.
  • Volunteers may be subject to review and evaluation, correction, and possibly termination in the best interest of the library.
  • To end a volunteer commitment, volunteers should notify their supervisor of that decision and the effective date.

Court Ordered Community Service Volunteers

The library may accept volunteers requiring court ordered community service at the discretion of the Library Director and Volunteer Coordinator. These volunteers are subject to the requirements of this policy.Friends of the Library Volunteers

The Friends of the Library is a volunteer organization operating under the 501c3 umbrella of the Public Library Association of Easthampton. The Friends Executive Board is responsible for Friends volunteers. The Library Director and the Friends President coordinate any special programs or projects utilizing Friends volunteers. On occasion, all volunteers may be asked to volunteer to assist with Friends events or programming.
